Privacy Policy

Important conversations can contain personal and confidential information. This policy explains what PoiseIQ processes to deliver preparation, practice, and live support—and the choices you have over that information.

Scope and our role

This Privacy Policy explains how the operator of PoiseIQ (“PoiseIQ,” “we,” “us,” or “our”) collects, uses, shares, and protects personal information when you use our websites, applications, interview and business-meeting preparation tools, live support, and related services (collectively, the “Service”).

It applies to information we process as the provider of the Service. It does not govern an employer, recruiter, video-meeting provider, or other third party you interact with independently. Their privacy practices are controlled by their own policies.

Information we collect

Account and profile information

We collect information such as your email address, display name, password in hashed form, profile image, account settings, plan, and account activity.

Interview, meeting, and generated content

When you use PoiseIQ, you may provide CVs, job descriptions, notes, target-company and interviewer links, knowledge documents, interview questions, and other preparation material. We also store outputs created for you, such as research summaries, question sets, suggested answers, coaching plans, evaluations, and readiness insights.

Business Meeting mode may also process meeting titles, organizations, objectives, desired outcomes, agendas, stakeholder names and roles, approved talking points, commercial constraints, background notes, decisions, commitments, action items, and generated follow-up.

Audio, transcripts, and session information

Mock and live-support features may process microphone or shared-tab audio to create a transcript. We may store transcripts, speaker labels, session turns, AI suggestions, session timing, and debrief results so the feature works and you can review your progress. When you start Live Capture, the shared meeting surface and its audio, together with microphone audio you permit, are combined into a video and stored with our media delivery provider so you can replay the interview or business meeting from your account. A custom voice-style sample is sent for transcription and analysis. Files you upload are not retained after processing. If you use the in-browser recorder, the recording is stored with our media delivery provider until you replace or delete the custom style. Its transcript and derived style settings are also stored until then.

Community content

If you use community features, we collect posts, replies, reactions, images or videos you choose to publish, and basic engagement data. Community content is visible to other signed-in users, so do not post confidential interview materials or personal information you do not want others to see.

Billing and transaction information

If you add funds or purchase a plan, we process plan details, account balance, transaction history, payment status, network, wallet address, and transaction identifiers. Hosted payment providers process the payment details you submit directly to them under their own policies.

Technical and usage information

We may receive standard request and diagnostic information, such as IP address, browser and device type, timestamps, pages or features used, error logs, and approximate usage volume. We also store authentication and preference data in cookies or browser storage.

How we use information

We use personal information to:

  • create, authenticate, secure, and administer your account;
  • personalize interview or meeting preparation, generate relevant questions and responses, provide live support, and produce coaching, evaluation, meeting summaries, or follow-up;
  • transcribe speech, maintain session history, and let you continue or review your work;
  • process plans, deposits, withdrawals, balances, and transaction records;
  • operate community features and enforce safety and acceptable-use standards;
  • troubleshoot, measure performance, improve reliability, and develop Service features;
  • prevent fraud, abuse, security incidents, and violations of our Terms of Service; and
  • comply with law and protect users, PoiseIQ, and others.

PoiseIQ does not make hiring decisions for employers. Scores, evaluations, and suggestions are provided to you as preparation and coaching tools.

AI and speech processing

The Service sends relevant portions of your prompts, documents, research, transcripts, or session context to specialized providers that help us generate responses, embeddings, speech transcripts, and mock interview conversations. Depending on the feature, these providers may include AI model, speech-to-text, and conversational voice services.

We do not use your private CVs, job materials, business documents, or conversation transcripts to train a public or shared PoiseIQ model. Our providers process data on our behalf subject to their applicable service terms and data-handling commitments. You should avoid uploading information that is unnecessary for interview preparation, including government identifiers, financial credentials, medical records, or confidential information belonging to another person.

When we share information

We may disclose information in the following circumstances:

  • Service providers. Infrastructure, database, content-delivery, AI, transcription, voice, analytics, security, and payment providers process information as needed to perform services for us.
  • Other users. Your display name, profile image, and content you publish through community features are shared according to the feature's design.
  • Legal and safety reasons. We may disclose information when reasonably necessary to comply with law, respond to valid legal process, investigate abuse, protect rights and safety, or secure the Service.
  • Business transactions. Information may be transferred as part of a merger, financing, acquisition, reorganization, or sale of assets, subject to appropriate safeguards.
  • With your direction. We may share information when you ask us to or give us permission.

We do not sell personal information for money or use private interview content for cross-context behavioral advertising.

Legal bases for processing

Where data-protection law requires a legal basis, we rely on one or more of the following: performance of our contract with you; our legitimate interests in operating, securing, and improving the Service; your consent, where requested; and compliance with legal obligations.

Where processing is based on consent, you may withdraw consent at any time. Withdrawal does not affect processing that occurred before it was withdrawn.

Cookies and browser storage

PoiseIQ uses essential cookies and browser storage to keep you signed in, protect sessions, remember interface preferences, and preserve unfinished setup information. These technologies are necessary for core product functionality.

You can clear cookies or browser storage through your browser settings, but doing so may sign you out, reset preferences, or remove unsaved local information. PoiseIQ does not currently use third-party advertising cookies.

Retention and deletion

We retain account information and saved interview work while your account is active and for as long as reasonably needed to provide the Service, maintain security, resolve disputes, meet financial recordkeeping requirements, and comply with law. Retention varies by data type and purpose.

You can delete certain interviews, community content, avatars, and custom voice-style data through available product controls. You can permanently delete your account and associated personal content from Account settings after confirming your password. Some records may remain for a limited period in backups, fraud-prevention systems, transaction ledgers, or where retention is legally required. Public content may also remain if another user has independently copied or shared it.

Security

We use administrative, technical, and organizational safeguards designed to protect personal information, including access controls, authenticated requests, password hashing, and security monitoring. However, no online service, transmission, or storage system can be guaranteed to be completely secure.

Keep your credentials confidential, use a unique password, sign out on shared devices, and contact support if you believe your account has been compromised.

Your choices and privacy rights

Depending on where you live, you may have rights to access, correct, delete, or receive a copy of personal information; object to or restrict certain processing; withdraw consent; or appeal a decision concerning a privacy request.

You can update profile and preference information and permanently delete your account directly in the Service. For other requests, contact support through your account. We may need to verify your identity before completing a request. Authorized agents may submit requests where permitted by law, subject to verification of their authority.

International data transfers

PoiseIQ and its providers may process information in countries other than the one where you live. Where required, we use recognized safeguards for international transfers. Privacy laws and government access rights may differ between jurisdictions.

Children's privacy

The Service is not directed to children under 16, and we do not knowingly collect personal information from children under 16. If you believe a child has provided personal information without appropriate authorization, contact support so we can investigate and take appropriate action.

Changes to this policy

We may update this Privacy Policy as the Service, our practices, or applicable law changes. We will post the revised policy and update the effective date above. If a change materially affects your rights, we will provide additional notice when required.
